How I Approach Initial Client Meetings with Empathy, Strategy, and a Vision for Better Workflows

When I meet with a new client for the first time, the conversation is never just about email templates or brand colors. It’s about listening deeply. Understanding the people behind the process. And uncovering the invisible friction that slows down their email production workflows.

I recently shared this human-centered approach during my talk at the Email Innovation Conference in Munich on March 18–19, 2025. My session, Email Marketing à la Carte: Designsysteme für Perfektion und Effizienz, explored how thoughtful systems can unlock speed, consistency, and creative confidence across marketing teams.

Step 1: Listening Beyond the Brief

Most clients come to me with a visible issue—maybe a broken design system, inconsistent email output, or over-reliance on a single technical person. But underneath those pain points often lie deeper challenges:

  • Pressure from leadership
  • Unrealistic timelines
  • Siloed teams
  • A lack of confidence in existing tools

That’s why I begin every engagement with empathetic listening. I ask intentional questions like:

  • What’s not working right now?
  • Where have you felt let down before?
  • How do your current tools and workflows make you feel?

My goal is to understand their situation not only from a technical perspective—but from a human one.

Step 2: Identifying the Gaps — and the Opportunities

Once I’ve uncovered their core challenges, I step back and evaluate what’s needed—not just for the next email campaign, but for long-term, scalable success.

  • Where are the real bottlenecks?
  • Is it a lack of modular templates?
  • A poor handoff between design and code?
  • Or misalignment between strategy and execution?

In a recent project, a client shared their frustration with receiving raw HTML files without any mockups. The result? Endless edits, poor visibility, and deadline stress. With a major launch looming, they needed more than a quick fix—they needed a system.

That’s where I shine. I introduced a modular design system with drag-and-drop functionality, responsive design guidelines, accessibility support (including dark mode), and a visual reference layer to ease future edits.

Step 3: Offering Real Options, Not Just Recommendations

After assessing their needs, I don’t jump into selling solutions. I offer strategic options that meet them where they are:

  • A phased rollout with low-risk templates
  • A full design system implementation with internal training
  • No-code-friendly tools for marketing teams

I demonstrate how Figma systems work, show how updates can be made without design expertise, and explain my coding approach in plain, accessible language.

Everything is transparent:
✔ Detailed proposals
✔ Clear timelines
✔ Budget ranges
✔ Defined deliverables

No surprises. Just clarity.

Step 4: Designing for Real-World Use

A beautifully designed system is meaningless if it’s not used—or usable.

That’s why I focus on real-world adaptability—by integrating with a brand’s ESP, aligning with existing workflows, and onboarding the team with clear documentation and training.

For teams under pressure (especially in fast-paced industries like retail), I recommend pragmatic strategies:

  • Reuse-friendly module libraries
  • Solid QA processes
  • Campaign-aligned rollouts
